  • Diamond Wave is an artist-led organization that produces multidisciplinary artistic and cultural events reflecting the experiences of diverse Bay Area LGBTQIA2S+ communities. Based in San Francisco, we are a fiscally-sponsored project of Intersection for the Arts that has created a trusted track record of inclusive programming and community-based consulting; authentically supporting the growth and stability of our artists, arts workers, and communities.

    The organization operates in Mission District’s Pacific Felt Factory art complex, hosting virtual and in-person consulting engagements and community events in venues throughout San Francisco (primarily in the Mission, Castro, and South of Market Districts) with intention of expanding to the East Bay and other Bay Area locations. 

    We currently operate multiple creative programs centering and uplifting intersectional queer and trans communities that have allowed us to grow our organizational budget over the last few years.

About the Administrative Assistant Role
The Administrative Assistant role is emblematic of our commitment to support the growth of our communities. This position is intended to be a springboard, a jumping off point for an employee interested in growing into more substantial roles within the organization. The Administrative Assistant’s primary duties center on foundational tasks within Diamond Wave to familiarize them with the organization’s processes and structures. 


This is a part-time, W2 employee position through our fiscal sponsor, Intersection for the Arts, that is expected to work an anticipated 20 - 30 hours per week @ $30 - 35/hour (depending on experience) paid twice monthly through direct deposit in line with CA AB-5 legislation. Funding for this position is secured through June 2025, with possibilities of continuing on with the organization depending on future funding and fit.

The following are key responsibilities for the Administrative Assistant position:

  • Day-to-day organizational administration including calendaring, communications, and project timeline management.

  • Coordinate meetings and activities for the community advisory board and all committees.

  • Partner with the bookkeeper and director in overseeing budget projections to actuals, cash flow and requesting invoices and needed documentation for payments through our fiscal sponsor, Intersection for the Arts.

  • Support the director by assisting with grant production including, but not limited to, editing grant language, gathering needed documents, application submission and reporting.

  • Under the supervision of the director, act as liaison between Diamond Wave and supported artists, vendors, partners, funders and community contacts.

  • Under the supervision of the director, support for program-related administration and process implementation (standard operating procedures, etc)

  • Under the supervision of the director and a community advisory committee, support the cultivation of business development and sponsorships.

  • Able to execute on both long-term and short-term initiatives.

  • Coordination of the organization’s file structure within Google Drive

  • Provide night and evening support during Diamond Wave in-person and virtual events

Position Requirements
The following are requirements for applicants to be considered for the position:

  • Must be able to carry up to 25 lbs, and to stand for an extended period of time during events.

  • Based in Bay Area and able to travel to San Francisco to work 1 day per week during normal business hours (M-F 10:00 AM - 5:00 PM) in Diamond Wave’s studio in the Mission District; this requirement will also include:

    • Working on-location, as needed, at community events or productions (estimated one to three per month). The Pacific Felt Factory has some accessibility limitations, including a series of stairwells, no elevator on-site, and some temperature variation. If the successful candidate has needs in these areas, Diamond Wave will make every accommodation possible.  

  • Demonstrate the ability to be self-sufficient, organized and detail-oriented

  • Comfortable representing the organization in external-facing interactions as well as in diverse community settings

  • Excellent interpersonal skills, including the ability to collaborate both internally and externally

  • Excellent technical skills and demonstrate working knowledge of standard software for office settings

    • Google Workspace (Gmail, Google Drive, etc.)

    • Adobe Acrobat (or other PDF software)

    • Microsoft office or open source equivalent

    • Windows operating system

The following are skills are nice-to-have, but not necessary for the position:

  • Experience working with intersectional LGBTQIA2S+ communities and/or other historically underfunded communities.

  • Familiarity with the following applications and web services:

    • Mailchimp

    • Eventbrite

    • Instagram

    • Facebook

    • Quickbooks

    • Adobe Creative Cloud
